PNKCA
Representatives Meeting
1.
11:00 a.m. – 3:00 p.m., March 8, 2014, Tacoma, Washington
Final
– Moved, 2nd, All Reps. Approved on June 7, 2014
1.
Meeting called to Order—Chairman Chris Charbonneau called the meeting to order
at 11:00 a.m. Chris explained that due to Jerry Hames illness he had stepped
down as Chairman. According to our Bylaws the Vice assumes the position which
left the Vice position open and the board is allowed to appoint a Member to
fill the vacant position. Larry Christianson was appointed.
The
Representatives spoke of Jerry's illness and wished him well and a Get Well
card was sent around for the Reps. to sign. Brief introductions were done of
the Board and Past Chairs in attendance.
2.
Minutes of the July 6, 2013, Representatives meeting in Tacoma, WA— A minor
change was made to the minutes and a vote was taken to approve the Minutes of
the July 6, 2013, Representatives meeting be accepted with that change and it
was passed.
3.
PNKCA Treasurer's Reports - The Treasurer's Report for the PNKCA 2013
Convention Final Recap was reviewed by the Representatives with the Treasurer
asking that this report be approved. A motion was made and passed.
The
Treasurer next reviewed the PNKCA Treasurer's Report for 1/1/13 to 12/31/13
with the Representatives. A motion made and passed to accept the Treasure's
Report.
The
Treasurer then went over the current year to date Report of 1/1/14 to 3/8/13
and asked if there were any questions. She then went over the PNKCA Income vs.
Expense Recap for 2011 – 2013. She asked for and answered questions on the
spreadsheet and went over the projected operating budget that shows income of
$250 from dues and expenses of $4,219 with a projected yearly operating budget
necessary for 2014 of $4,400. A motion was made to accept these Reports and
passed as written.
4.
PNKCA Convention 2013 Overview and wrap up — Monte McQuade went over the 2013
Convention. He encouraged clubs to step up as soon as possible saying that in
order to secure a venue you should have at least 6 months advance time, with 18
months to plan ideal. Puget Sound Koi Club had less time and although
everything worked out, it put a lot of stress on those organizing the
Convention. He went into detail on the package deals you could get at different
venues by using more of the venue services and not to forget the attractions
outside the Convention in the surrounding areas. Remember it takes time for the
artwork, to get flyers, pins, posters, cards, badges, and get the donations.
Puget Sound did the majority of the work with 8 people, Olympic with 6 people.
Proof that a small club can put on a fine Convention.
5.
2014 PNKCA Convention Up-Date – Tom & Kate Taylor went over the 2014
Convention plans. Hosted by the Northwest Koi and Goldfish Club, it will be
held in Clackamas, Oregon (outside Portland). "30 Years of Living
Jewels" is the theme of the
Convention
this year. There will be a hand's on seminar of how to catch, how to scrape and
various seminars, including information on toxic plants. There will be no wet
lab this year. Friday during the day there will be a painting class by Patti
MaGee and a Bonsai workshop. Packets of information were passed out to all.
a.
Larry Christensen encouraged all to think about raffle auctions. Think about
things around the house that you may be able to donate. Donations to help the
PNKCA were encouraged with a suggestion of gift certificates as a donation.
6.
Award to Webmaster *Item added - The board had been given an award at the 2013
Convention for its service. Phyllis Anderson was not able to attend the 2013
Convention so she was presented with the Award and was told she was the
"glue together and collector of all things" and she was so much
appreciated. All acknowledged and thanked Phyllis for her service.
7.
Bronze Koi Award – Larry Christensen spoke about the Bronze Koi Award which is
given to a hobbyist with 10 or more year's experience that went "over and
above" in working with the club and organization. Nominations are due by
the end of March (31st). This is a nomination made by an individual. The
nominees are kept for 2 years in a row. He encouraged all to make submissions
so they have choices for the Award and more people for consideration of this
Award.
8.
2014 ZNA Membership Drive – Larry Christensen passed out applications which
were due by March 24th. He showed the magazines that come with membership (12
per year) and the membership cost had dropped this year due to the exchange
rate.
9.
Ed Fujimoto Award – Chris Charbonneau reminded us that the Ed Fujimoto Award
Nominations (winner is chosen by each individual club and sent to PNKCA via
website so a certificate can be done) are due by March 31, 2014. The forms are
on the website and encourage the winner to be present at the Convention so they
can get their picture taken with the other winners.
10.
PNKCA Koi of the Year Award – Larry Christensen is now taking care of getting
the submitted photos ready for the Convention. It is a way for clubs to get
involved, even those that do not have koi shows. He needs the pictures by May
15th. Each club should turn in a good 8x10 inch photo of a koi that their club
chose as a winner. Each convention attendee gets to choose which photo of the
koi they think is the "Koi of the Year" for the award. Each club
should be doing this each year so there are plenty of choices at the convention
and make it a good competition.
11.
Club Reports - Club representatives were recognized and each club gave a short
report on the status of their club. There were clubs that had an increase in
members. It was suggested to place an ad in Craig's list and to have a mentor
for each new interested or new member to encourage continued attendance. Most
clubs are active in community activities. Washington Koi & Water Garden
Society gave a challenge to other clubs. They spoke of the KHV research and
getting more funding for the Oregon State University research. They have had
special raffles, etc., to come up with a $1,500 donation. If the other clubs as
a collective can come up with $1,500 then they would host the 2015 convention.
It remains to be seen if the other clubs can meet this challenge.
12.
Future PNKCA Conventions – Chris Charbonneau encouraged the clubs to think
about hosting the 2015 or 2016 Convention. The Challenge by the Washington Koi
& Water Garden Society was again brought up. No clubs stepped forward with
a definite "yes" to hosting a future Convention.
13.
Insurance Renewal – Pat Christensen discussed our current Directors and
Officers Liability Policy with an expected renewal rate of approximately $782.
A motion was called to renew and pay the 2014 Policy bill and renew when
received. The motion was passed.
Old
Business:
14.
a.
By-law Changes and Modifications - Proposed recommendations/changes as
submitted to the Executive on June 26, 2013 and February 2, 2014, sent out to
the Representatives were gone over briefly. Questions were called for and a
discussion was held. Then a secret ballot had to be done to see if these
changes and modifications were accepted. Ballots were passed out and then
counted. The members voted by more than a two-thirds majority by secret ballot
to accept the By-law Changes and Modifications as submitted by the By-Law
Committee.
b.
PNKCA Show Cup Series - It was reported that this event was fun to do, but
there will be no PNKCA Show Cup Series this year due to the work involved and
the seemingly "unfair" teams. A discussion was had on making this
event fun for all the clubs and members rather than just a minority few,
although most clubs thought this was a great event and hoped it could be put
into action in the future.
c.
Resource List of Speakers/Wet Lab/Veterinary – Diana Lynn asked if the local
clubs were interested in speakers from the East Coast. The clubs responded that
they would be interested. Additional speakers will be added to the list and
provided to the clubs at a later date.
15.
PNKCA Super Raffle 2014 - The Super Raffle donations of a two koi from Children
of the Sun Koi, a 6' Koi Show Tank and Net Cover donated by Pearls of Paradise
and Rock Shop, and a set of koi jewelry by an anonymous donor were recognized,
posters handed out, with everyone encouraged to pick up their Super Raffle
Tickets. Dick Benbow spoke of the type of koi food being given with the koi and
a little bit about how koi food was made.
New
Business:
1.
PNKCA Annual Dues – A suggestion was brought up about raising the PNKCA annual
dues. Some clubs expressed concern about the smaller clubs and the stress even
raising the dues to $25 or $30 could be to them. It was mentioned the raffle
that the PNKCA is now a beneficiary of and that the dues themselves were a
relatively very small portion of the funds for the PNKCA. Some expressed an
interest in a two-tiered approach to the dues. A membership committee of Sot
Chimonas, Gene and Pat Christensen was formed to examine this issue. It would
mean a change to the By-laws with the necessary procedures to change the
Bylaws.
2.
ZNA - A discussion was started on the ZNA and the new chairman that is expected
to be appointed and a change in the slate of officers. Due to this change
Friendship Clubs can be formed in a different time frame. This discussion was
then tabled as non-PNKCA business.
A
recap of the By-law revisions that was passed and the challenge to the PNKCA
Clubs to get together to get the matching $1,500 donation to the Oregon State
University in exchange for hosting the 2015 PNKCA Convention was brought up.
16.
PNKCA Promotional Grants Awarded for 2014 – Five grant applications were
received in a timely manner this year. The clubs awarded grants for 2014 are:
1.
Puget Sound Koi Club
2.
Idaho Water Garden & Koi Society
3.
Oregon Koi & Watergarden Society
4.
Cascade Koi & Goldfish Club
5.
Inland Empire Water Garden & Koi Society
There
were no alternates as there were only 5 grant requests received
The
clubs were reminded that the pictures and reports must reach Phyllis Anderson
before December 1, 2014, to receive their grant money.
