DRAFT: This is not finalized until approved at the 2012 Spring Rep Meeting:

PNKCA Representatives Meeting at the 27th Annual Convention

12:30 – 1:30pm, June 4, 2011, Clackamas, Oregon

1. Meeting called to Order—Chairman Elsie Richardson called the meeting to order at 12:30 p.m. Then she introduced the board: Vice Chairman Jerry Hames; Secretary Carmen Stafford; Treasurer Lucy Macneil and Web Master Phyllis Anderson. Elsie also welcomed the past chairmen who attended. They were, Gene Anderson, Larry Christensen, Lindsay Gibson, Linda Montgomery and Jerry Tyler.

2. Vendor Guest/Visitors Acknowledged—Despite their absence, Elsie thanked the Super Raffle supporters, Steve Joneli of High Desert Koi & Ponds (Evolution ES 5500 pump), Joe Augsburger of Joe’s Koi (Matala BioStep 10 Filter w/ Waterfall), and Taro Kodama of Kodama Koi Farms (Kodama Academy membership, four issues of Mekiki quarterly textbook, and 11 lbs. each of Kodama Wheat Germ and Color Up koi foods). Special recognition was given to Peter Enfield who donated two special plaques that he hand made.

3. Minutes of March 12, 2011 Spring Representatives meeting—Carmen made two corrections to the Spring Meeting Minutes. They were: listing the Puget Sound club as one who would receive the 2011 PNKCA promotional grant and that Cascade would be the alternate. In fact, it was the other way around. A correction was made to put Cascade in as the receiver of the grant and Puget Sound is the alternate. The other omission was leaving Wendy Smith’s name off of the attendees list for the March Meeting, when, in fact, she did attend. Carmen apologized to Dave Smith for the omission.

4. PNKCA Treasurer’s Report—Lucy Macneil said she sent the $2000 seed money to the NK&GC for the convention. She reported on the income brought in by the convention so far, and that the PNKCA’s bank statement has been balanced. A vote was taken to approve of the Treasurer’s Report and it was passed.

5. PNKCA Convention 2011—Sally Karo reported that the convention seemed to be running smoothly. She encouraged anyone having any problems to please come see her or Pat Christensen, and reminded people to sign up for the bus tour if they had not done so already

6. PNKCA Banquet—Virginia Hokkanen explained the banquet facilities would be in two rooms and that people would be admitted into the banquet room at 6:30 for the social time. There will be a no-host bar and that announcements and awards would follow and then the auction would held with Larry Christensen as the auctioneer

7. PNKCA Pond Tour— Steve Kaufman

Elsie thanked all the folks at NK&GC who made the convention possible and for all their hard work and dedication in getting things organized and done in such a good and timely manner.

.

8. 2011 Promotional Grants—Jerry Hames reported on the 2011 grants. He reminded everyone that pictures and articles for this year’s grants are due before Dec. 31, 2011. The clubs awarded this year’s grants are:

Club Puget Sound Koi Club

9. PNKCA Koi of the Year Award—Phyllis Anderson said anyone who wanted to participate in this contest could still do so as long as their photos were submitted today no later than 5 p.m.

10. Club Representative Updates—New officers and representatives were recognized. It was noted that each new rep should have a Handbook. Deadline notices for ------- are due March 31.

11. PNKCA Convention 2012—Jerry Hames his club, the Olympic Koi, Goldfish and Watergarden Club will host the 2012 convention. Lindsay Gibson, of the Dai-ichi Koi & Japanese Garden Club of British Columbia, will help Jerry’s club organize the event. It will be in the Bremerton/Port Orchard area. Jerry said he would try and bring in local speakers as he wasn’t sure how to bring in out-of-town speakers.

12. Future PNKCA Sites:

            2012—OKG&WC

2013—No club has volunteered yet for this convention.

Old Business:

13. Convention Manual Update—Elsie held up a convention manual and explained that each time a club used the book, they should update it according to what they did and the resources they used to put together the convention. Based on the books that Linda Montgomery had collected, none of them had been updated since 2003. She asked the Portland club to please be sure they do this for the next club that puts on the next convention. Jerry Tyler asked if the manual was on line, and Phyllis Anderson said yes.

14. Insurance update—Elsie said in order to renew their insurance policy, they had to submit a financial statement. She did so and the PNKCA’s new insurance policy was reduced $20 over the previous policy.

15. New Business—Election of 2011-2012 Officers

Nominations are:

            Chairman                     Jerry Hames

            Vice Chairman            Chris Charbonneau

Elsie asked if there were any nominations from the floor. There were none. The nominations were closed and a motion was made to accept those nominated. A vote was taken and the new officers were elected as nominated.
